Choosing a sales kickoff destination is a sourcing decision dressed up as a lifestyle decision. Nobody’s comp plan improves because the hotel had a rooftop pool. What moves the program is whether 600 reps can land before noon on a Sunday, whether the general session seats everyone without an overflow room, and whether your week collides with a citywide that fills every hotel near the convention center.
Timing matters as much as the city. As of late October 2026, a January or February 2027 kickoff is roughly ten to sixteen weeks away. That changes the advice. This guide covers what is still realistic for a 2027 kickoff that isn’t booked yet, which cities fit which headcounts, the dated 2027 clashes to check first, the venues worth an RFP in each city, and when to start on 2028. For the cost side of these markets, the 2027 Corporate Event and Incentive Cost Index carries the rate outlook and a worked budget model.
If your 2027 kickoff isn’t booked yet
Ten weeks out is late, but it isn’t hopeless. Large self-contained properties in the top markets will have fewer options in prime January and February weeks, so the move is to widen the search rather than wait for the perfect week to open up.
- Flex the dates before the city. Ask each hotel for its open patterns across a four-week range, including Sunday-to-Tuesday and Tuesday-to-Thursday options. A shoulder week a hotel needs to fill is a better negotiating position than a peak week it doesn’t.
- Put tier-2 and hub cities on the list now. Tampa, Salt Lake City, Charlotte and Kansas City often have January space that the headline cities don’t.
- Consider splitting the program. A smaller leadership event plus regional half-days is far easier to place on short notice than one 1,500-person ballroom (more on that model below).
- Shorten the decision chain. Get headcount, budget range and the decision-maker confirmed this week. At this lead time, a two-week internal approval loop can cost you the space.
If your kickoff is already booked, the most useful thing you can do now is start the 2028 search. The cities and venues below are the same list; only the lead time is different.
Match the city to the program size
Destination is downstream of program type. A 1,400-person convention-style kickoff and a 90-person leadership offsite do not belong in the same city, let alone the same hotel. Start with headcount, then airlift, then space, then everything else.
| City | Comfortable headcount | Airlift | 2027 watch item |
|---|---|---|---|
| Las Vegas | 800 to 5,000 | Deep domestic nonstop schedule | CES, January 6 to 9 |
| Orlando | 500 to 4,000 | Strong East Coast and Midwest reach | PGA Show, January 26 to 29 |
| Dallas–Fort Worth | 300 to 4,000 | American Airlines’ largest hub | Choose between airport-side resort and downtown |
| Nashville | 400 to 2,500 | Good Southeast and Midwest reach | Limited walkable inventory for large blocks |
| San Diego | 300 to 3,500 | Strong West Coast, thinner to the Northeast | East Coast reps lose a day each way |
| Phoenix–Scottsdale | 300 to 2,000 | American hub at PHX | WM Phoenix Open, February 8 to 14 |
| Salt Lake City | 400 to 2,500 | Delta hub | Ski weekends push up resort rates, not downtown |
| Charlotte | 300 to 1,800 | American hub with 180+ nonstop destinations | Thinner luxury inventory |
Treat airlift as a budget line, not a convenience. Air is often the second-largest cost in a kickoff after rooms, and it is the one planners model last. If 40% of your field sits in the Northeast and you pick a West Coast city, you are buying a travel day on both ends. Map where your reps actually live before you shortlist, because a hub city that turns two-stop trips into nonstops can beat a flashier city on total cost.
Build the general session for 115% of your registered number. Sales headcount moves between contract and arrival, almost always upward. The same goes for breakouts: if the agenda runs six tracks, hold seven rooms, because one will become a green room or a war room by day two.
The 2027 date clashes to check first
A citywide doesn’t just raise room rates. It takes the airlift, the coach fleet, the banquet labor and the AV crews. A kickoff that lands on top of one gets worse service at a worse rate. These are the clashes that matter for a January or February 2027 program.
| 2027 dates | Event | City | What it means for a kickoff |
|---|---|---|---|
| Jan 6–9 | CES | Las Vegas | Avoid the week; ask about rates for the week after |
| Jan 10–12 | NRF Retail’s Big Show | New York | Midtown hotel compression |
| Jan 26–29 | PGA Show | Orlando | International Drive hotels near the convention center fill |
| Feb 8–14 | WM Phoenix Open | Scottsdale | The resort corridor becomes a seller’s market |
| Feb 9 | Mardi Gras | New Orleans | Avoid the two weeks before it, not just the day |
| Feb 14 | Super Bowl LXI | Los Angeles | Rates across LA climb all of that week |
Two practical notes. CES ends January 9, so Las Vegas does not stay closed for the first half of the month; the following week is workable if the hotel isn’t still pricing off show demand, so ask. And spring citywides such as HIMSS27 in Chicago, April 5 to 8, won’t touch a January kickoff but will matter if you run a mid-year kickoff. For any city on your list, ask the convention and visitors bureau for the convention center calendar in writing, including what is on hold as well as what is confirmed.
Venues that work, city by city
Every city on the shortlist has a self-contained option, a convention-center option and a smaller resort option for leadership. Here is where to start the RFP in each.
Orlando
Orlando is often first on a kickoff shortlist because of its supply of large meeting hotels. Gaylord Palms Resort and Convention Center has 500,000 square feet of meeting space under one roof, so a large general session and a full breakout grid never leave the building. The tradeoff is that reps stay on property for three days. Hyatt Regency Orlando is directly connected to the Orange County Convention Center, which gives you room to grow if headcount jumps. Rosen Shingle Creek is independently owned, which can mean faster answers on AV and food and beverage terms. Watch the PGA Show week and plan airport transfers: the drive to International Drive and the drive to the Disney-area resorts are different trips.
Las Vegas
Las Vegas puts very large programs inside resort campuses: Caesars Forum, The Venetian Expo, and the ARIA and MGM Grand conference centers. The trade-offs are resort fees, in-house AV exclusivity and the CES week. If leadership wants Vegas in January 2027, aim for the second half of the month and compare total cost, not just room rate.
Dallas–Fort Worth
DFW is a strong kickoff market for one reason before any other: as American’s largest hub, it gets most of a national sales team there on a nonstop. Gaylord Texan in Grapevine sits minutes from the airport and works like Gaylord Palms, self-contained and big. Hilton Anatole gives you a large, self-contained hotel inside the city. Downtown, the Omni Dallas Hotel is connected by skybridge to the Kay Bailey Hutchison Convention Center. Our Dallas corporate event planning guide goes deeper on the market.
Nashville, San Diego and Scottsdale
Nashville’s Gaylord Opryland is the self-contained play, and the hotels around Music City Center suit programs that want the city at night, though large blocks there split across several properties. San Diego’s bayfront hotels next to the convention center, Manchester Grand Hyatt and Hilton San Diego Bayfront, work well for West-heavy teams. In Scottsdale, JW Marriott Phoenix Desert Ridge, Fairmont Scottsdale Princess and The Phoenician are excellent kickoff resorts, but source them outside February 8 to 14, 2027.

Tier-2 cities worth an RFP
Tampa, Salt Lake City, Charlotte, Kansas City and Indianapolis are worth a look on cost, and even more on concessions. When a hotel has open January inventory, it has reason to trade comp rooms, a lower attrition threshold or waived meeting room rental for your business. That matters most at short lead times like a 2027 kickoff sourced in the fall.
Each has a specific strength. Tampa’s convention center sits on the water with a walkable Riverwalk hotel cluster, which answers the “what do reps do at 9pm” question without a shuttle. Salt Lake City pairs the Salt Palace with a Delta hub, and an optional ski day is a real attendance draw for Western teams. Charlotte, an American hub, is the cleanest East Coast airlift story outside Atlanta.
The watch item is luxury inventory. If your CRO expects a Four Seasons and you’ve booked a solid full-service Marriott, that gap will show up in the post-event survey however good the content was. Set expectations during sourcing. Our rundown of top meeting destinations covers more markets if you’re building a long list.

One flagship plus regional half-days
For a distributed sales organization, a single all-hands kickoff isn’t the only model. Another model is a 200 to 350-person leadership and top-performer event in a tier-1 city, followed by regional half-days for the wider field in three or four hub markets a couple of weeks later.
The math works because the flagship is small enough to book a genuinely good property, and the regional legs are day meetings with no room block, no air and a fraction of the food and beverage commitment. Leadership gets the strategy session; the regional days deliver it with local context and territory numbers. It also suits a late start: regional venues such as hotel meeting floors and independent event spaces can often be booked on about 60 days’ notice, where a convention hotel can’t.
Pairs that work: a Nashville flagship with Atlanta, Dallas and Chicago regionals; an Orlando flagship with New York, Chicago and San Francisco; a Salt Lake flagship with Denver, Phoenix and Seattle. The risk is under-resourcing the regional days. A half-day run by a regional VP with a borrowed projector undoes the energy the flagship built, so staff them properly or don’t run them. Our company-wide kickoff planning guide covers the agenda side.
Before you sign
The rate is the headline; the clauses are the invoice. Three terms decide whether a kickoff lands on budget:
- Attrition. Sales headcount is the most volatile roster in the company, and reorgs happen in December. Push for a review date about 45 days out that lets you adjust the block without penalty.
- Food and beverage. Negotiate one total commitment across the program rather than per-function minimums, so a strong closing dinner can absorb a light breakfast.
- AV exclusivity. Ask for the in-house AV language in the first RFP round, not the redline. If the property won’t release rigging and power, price that into the comparison before you shortlist.

2027 is late, 2028 is now
For a January or February 2027 kickoff that isn’t booked, you are in a ten-to-sixteen-week sprint: confirm headcount and budget, send a tight RFP to three cities with flexible dates, and decide within two weeks of proposals coming back. For a 2028 kickoff, now is the right time to start: the large self-contained properties in Orlando, Las Vegas, Dallas–Fort Worth and Nashville are worth approaching 12 to 18 months out, and starting now gives you that.
