Dallas corporate event management, run by people who live here

Conferences, sales kickoffs, incentive programs and executive meetings across Dallas–Fort Worth, planned by a CMP-led team that knows which ballroom fits your general session, which airport your VP should fly into, and which October weekend to avoid.

J.Shay is a Dallas event management company for B2B teams who would rather not learn DFW the hard way. We run conferences, sales kickoffs, incentives and executive meetings across Dallas–Fort Worth for groups of up to 30,000.

Led by Justine Shay-Sweat, CMP, we can walk a ballroom with you this week, not next month.

Where your event fits in Dallas–Fort Worth

Pick the area before the venue. DFW is eight distinct meeting markets joined by highways, and choosing the right one first saves weeks of site tours.

Two airports, one arrival plan

Dallas has two commercial airports, and planning around both is one of the cheapest wins in your whole program.

Love Field gates operated by Southwest
  • DFW is American’s home region (OAG ranking). The DART Orange Line runs from Terminal A to downtown; TEXRail runs from Terminal B to Fort Worth.
  • Love Field is minutes from downtown and Uptown, with no rail. DART’s Route 5 bus links it to the Orange and Green lines.

What we do with that: split the arrival manifest by airport and time transport to each wave. Sales flying American and partners flying Southwest can need two plans for one event.

The Dallas event calendar: the weeks to plan around

Dallas is easy to love and easy to mistime: storm season, summer heat and the State Fair decide whether your outdoor plans and your hotel rates survive.

  • Storms: outdoor elements get a written rain plan and a weather call time.
  • Heat: about 20 days a year hit 100°F. Receptions start after sunset or move under cover.
  • State Fair: about 2 million visitors in 2025, plus Texas–OU weekend. Check dates before you fall for a hotel.
  • Winter: 29 freezes a season on average. January and February programs need an air-delay plan.

What a Dallas event costs before anyone quotes you

Two public numbers set the floor for any Dallas budget: the federal lodging rate, and the 15% hotel tax that lands on top of it.

$184
Dallas County lodging per diem (FY2027)
$80
Meals and incidentals, per day
15%
Dallas hotel tax (6% state + 9% city)
$211.60
Per-diem room with tax ($184 × 1.15)

The federal per diem is a reference point, not a quote; convention-hotel group rates can sit well above it. The tax doesn’t move: 15% since Proposition A passed in November 2022, on every room night.

How we personalize every attendee's experience.

One destination. Four parallel experience tracks. Every attendee feels chosen.

STEP ONE

The Signal

Every attendee fills out a 10-minute, profile pre-trip. We learn what they love, what they hate, and what they've never told anyone at work.

STEP TWO

Four Tracks

Every attendee is segmented into one of four tracks — Adventure, Recharge, Culture, or Comfort. The track defines their default itinerary, gifts, dining, and recognition.

STEP THREE

Personalized Touchpoints

From welcome to send-off, the experience adapts to each attendee — what they receive, where they sit, how they're recognized, and what shows up when they get home.

STEP FOUR

Flexibility Where It Counts

Pre-trip changes, on-site adjustments, post-trip requests — handled. You stay focused on your team, not on logistics.

What the four tracks look like in DFW

  • Adventure: game night at AT&T Stadium or Globe Life Field.
  • Recharge: an early tee time at Omni PGA Frisco.
  • Culture: live music in Deep Ellum or a night in the Stockyards.
  • Comfort: a chef’s-table dinner and an early night.

How to choose a Dallas event management company

The real split in DFW isn’t big agency versus small. It’s whether your planner has worked your venue lately. Ask every shortlist, including us:

  1. When did you last contract this venue? Recent banquet-team relationships are worth real money.
  2. What’s the airport plan, and the weather and State Fair plan?
  3. Who’s on site, by name? Not “a team.”

A national agency with no Dallas staff walks venues by plane, and many directory listings are wedding-first. We’re not the cheapest option, and we’ll say so if you don’t need us.

Send your headcount, dates and the one thing the event must achieve, and we’ll tell you which part of DFW fits. Start the conversation.

Dallas event management: frequently asked questions

What teams ask before planning a corporate event in DFW.

What does a Dallas event management company do?
We run the whole program across Dallas–Fort Worth: area and venue, contract and room block, registration, arrivals at both airports, production, on-site management and the final reconciliation, with a local team that can walk every venue with you.
How far ahead should we book a corporate event in Dallas?
Start 12 to 24 months out for a large program; smaller meetings can come together in 6 to 12. Go earlier for fall dates near the State Fair, and for downtown, where convention center halls are limited until the new building opens.
Which airport should our attendees fly into?
DFW has the most nonstop routes and is American Airlines’ home region. Love Field is closer to downtown and mostly Southwest. Many programs use both, so we plan ground transport for each.
How much does a corporate event in Dallas cost?
Headcount, dates, venue, food and beverage, and production drive it. Two public figures set the floor: a $184 Dallas County lodging per diem (FY2027) plus the 15% City of Dallas hotel tax. Our free budget calculator turns your headcount and dates into a working range.
We’re not based in Dallas. Can you still run our event here?
Yes. Many clients are national teams who pick Dallas because it’s central and easy to fly into. We also run programs across the U.S. and internationally from our Dallas base.
