Corporate Event Management Services
Conferences, trade shows, and incentive travel — one accountable team from first brief to final teardown. What we do
An event that says something about your company.
Your attendees and stakeholders leave impressed. Your budget holds. Your team gets its calendar back with J.Shay Events.
These are the outcomes we are accountable for as your partner — with a partnership designed to be flexible, built around your team and your goals.
Let us show you what we can do for you.

Incentive travel & President’s Club
Your winners come home still talking about it.
We’ll design the qualifier, source the destination, handle air and gifting, and sort the tax gross-up early so it never becomes a surprise. Our Signal survey asks each winner what they would genuinely enjoy, so even a group of 400 gets a week that feels like it was planned for them.

Conferences, meetings & sales kickoffs
Your team leaves knowing what to do on Monday.
From ten people to thirty thousand. We’ll settle room blocks and attrition before anything is signed, then look after content, production and run of show — so the one week a year your sellers are together earns its place in the budget.

Trade shows & exhibitions
No surprises on the final invoice.
Floor space is usually about half of what a show really costs. We’ll look after drayage, install and dismantle, shipping and booth staffing, and give you the landed number early — while there is still time to do something about it.

Leadership retreats
Somewhere the phones actually go down.
Small group, high stakes. We’ll find a property far enough from the office that it works, and build an agenda with enough room in it for the conversation you were hoping to have.

Event technology & production
One plan to approve, and one team to call.
We are Cvent certified across Attendee Hub, Event Management and Venue Sourcing, so registration, the event website, the mobile app, check-in and badging are ours.
Staging, AV, lighting and show production come through specialist partners we have worked with for years. We source them, hold the contracts and manage them against your scope — so you are approving one plan rather than chasing five suppliers.

We have sat on your side of the table.
Most of our team came out of in-house event and marketing roles. We know what it is like when the program has your name on it, and what you actually need from an agency at 11pm the night before doors.
We know the questions before you ask them
Having been the client, we tend to raise the awkward things early — the clause that will cost you, the headcount assumption that will not hold, the date that collides with your quarter close.
The team flexes around yours
Some clients hand us the whole program. Others keep sourcing in-house and want us on production and on-site only. Both are fine. We scale up and down rather than selling you a fixed package.
You can see what everything costs
Supplier pricing is shown to you as we receive it, and our fee is its own line that you agree to up front. Nothing we earn is folded into a rate you cannot see.
Scope of work
What we take on, in the order you’ll meet it.
These are the line items that show up in the plan we give you, grouped by roughly when they land on your desk.
Sourcing & contracts
Destination and venue sourcing, with attrition, F&B minimums and cancellation terms negotiated before anything is signed.
Program design
The Signal survey and its four tracks, the agenda, run of show, excursions and off-sites.
Registration & build
Cvent Attendee Hub, the event website, mobile app, invitations and enrollment.
Air & ground
Group air contracts, arrival and departure manifests, transfers and VIP ground.
Check-in & badging
The registration desk, credentialing, and the people running both.
Production
Stage, AV, lighting and rigging through partners we contract and direct, plus speaker management, rehearsals and show calling.
Food & beverage
Menu design and tastings, dietary and accessibility needs, and a line-by-line read of every banquet event order.
Gifting & swag
Sourcing and branding, room drops, welcome kits, shipping and customs.
Reconciliation
Every line checked against the contract before it is paid, and any disputes handled by us rather than by you.
Tax & compliance
The gross-up calculation and the award-value reporting your finance team will ask for.
Measurement
Reporting at 30, 60 and 90 days against the result the program was designed around.
Next time
What is worth repeating, what is worth cutting, and what the same program should cost next year.
